Session Packs & Commitments

Training is offered via session packs (blocks of 4, 8, 12, or 16 sessions) and fixed-term commitments (3, 6, or 9 months).

Payment options:

•Single-month packs: paid in full at purchase

•Fixed-term commitments: paid either in full upfront OR by monthly Direct Debit (GoCardless)

Important: Cancelling your Direct Debit does not cancel your commitment — you remain liable for the full term.

Pauses: One pause per term is guaranteed (up to 14 days) if requested 14 days in advance. Your commitment end date will be extended. Additional pauses may be considered for exceptional circumstances.

Session Pack Rules

•Validity: Single-month packs expire 30 days from purchase. Sessions not used are forfeited (except in exceptional circumstances — see below).

•Non-transferable and non-refundable (except where required by law or during the 14-day cooling-off period for online/phone purchases).

•Bespoke packs may be agreed but follow the same rules unless otherwise stated in writing.

14-Day Cooling-Off Period

If you buy a session pack online or by phone, you have a legal right to cancel within 14 days of purchase.

•If you haven't used any sessions, you'll receive a full refund.

•If you've started training, the value of used sessions (calculated at our standard single-session rate) will be deducted from your refund.

In-store purchases: Cooling-off rights do not apply. Refunds only given where required by law.

How to cancel: Email info@ldnfitclub.co.uk or write to our registered address. Refunds processed within 14 working days.

Early Cancellation of Fixed-Term Packs

If you cancel a 3, 6, or 9-month pack early:

1.We'll recalculate the cost of sessions you've used at our standard single-session rate (for your service type, as published at the time of purchase).

2.If you've paid less than this amount, you'll be invoiced for the difference (payable within 14 days).

3.If you've paid more, you'll be refunded the difference (within 14 working days).

Example: You bought a 6-month pack at a discounted rate, but the standard single-session rate is higher. You used 10 sessions then cancelled. We calculate what those 10 sessions cost at the standard rate. If you've paid less than that amount, you'll be invoiced for the difference. If you've paid more, you'll be refunded.

This ensures you pay fairly for what you've used, while those who complete their commitment get the discounted rate.

Exceptional Circumstances (Illness, Injury, etc.)

If you experience serious illness, injury, bereavement, job loss, or other exceptional circumstances, we may (at our discretion):

•Pause or extend your pack, or

•Offer a partial refund

Evidence required: Medical certificate, hospital letter, bereavement notice, redundancy letter, etc.

Submit to info@ldnfitclub.co.uk — we'll respond within 7 working days. Each case is considered individually.

Training Programmes

An Initial Assessment (price as listed on the Website) is required before starting a structured programme. Assessments must be used within 30 days of purchase. Programmes renew every 4 weeks.

Food Subscriptions

Supplied by Your Health Food, billed weekly by Direct Debit.

•Allergen declaration required before subscribing (Food Information Regulations 2014).

•Cancellation: 7 days' notice before next billing date.

•No refunds mid-cycle except where required by law (e.g., food not as described or unfit for consumption).

Therapy & Rehab

•Therapy services (massage, manual therapy, etc.) carry inherent risk. We work to ensure safety but cannot guarantee outcomes.

•Rehab programmes are exercise-based and not a substitute for medical treatment.

•Health disclosure required: You must tell us about all health conditions and medications (prescription, over-the-counter, or otherwise). You'll complete a health screening form (PAR-Q) before starting.

•GP clearance may be required for certain services.

•Professional standards: All physiotherapists are HCPC-registered and covered by professional indemnity insurance.

Important: We cannot exclude liability for death or personal injury caused by our negligence, but we're not liable for complications from undisclosed conditions or failure to follow advice.

Cancellations by Clients

•Sessions: Less than 24 hours' notice = charged in full.

•Assessments/Workshops: Less than 48 hours' notice = non-refundable.

•Food subscriptions: 7 days' notice required.

Rebookings may be offered at our discretion in genuine emergencies.

Refunds

•No refunds for unused sessions (except during cooling-off period or where required by law).

•If the Club cancels: We'll offer a reschedule or credit.

•Your statutory rights under the Consumer Rights Act 2015 always apply (e.g., refund if services not provided with reasonable care and skill).

Normal post-exercise soreness (DOMS) is not grounds for refund.

Kids' Services

•Under-18s require written parental/guardian consent.

•Parents/guardians responsible for: ensuring suitability, timely drop-off/pick-up, providing accurate health information.

•Club maintains duty of care during supervised sessions.

•Staff ratios: Kids' classes operate with appropriate ratios. We may refuse participation if unsafe or disruptive.

•Safeguarding: All staff working with minors are DBS-checked. Concerns? Contact safeguarding@ldnfitclub.co.uk.

Supplements & Products

Provided for general wellbeing only, not medical treatment. You must check labels for allergies and follow instructions. We cannot exclude liability for death/injury from negligence or defective products, but we're not liable for misuse or failure to follow instructions.

Health & Safety

•Inherent risks: Fitness activities carry some risk, but we work to ensure safety through qualified staff, risk assessments, and proper supervision.

•Liability: We cannot exclude liability for death or personal injury caused by our negligence. However, we're not liable for injuries from undisclosed conditions, failure to follow instructions, or normal post-exercise soreness.

Data Protection

We process your personal data (contact details, payment info, health information) in accordance with UK GDPR and Data Protection Act 2018.

•Health data: We'll obtain your explicit consent through a separate health screening form.

•Your rights: Access, correct, erase, restrict, object to processing, receive a copy of your data.

Photography & Media

We may take photos/video for promotional use. We'll seek your explicit consent before featuring identifiable individuals. You can refuse or withdraw consent at any time.

Force Majeure

If we can't provide services due to events beyond our control (pandemic, government restrictions, natural disasters, etc.), we may suspend, reschedule, or vary services. Commitments may be paused or extended.

If disruption exceeds 8 weeks: You may request a pro-rata refund or commitment extension.
